1Who we are

ItsDeducted (“ItsDeducted,” “we,” “us,” or “our”) is a donation tracking and recordkeeping service operated by KPI Management Consultants LLC, an Illinois limited liability company.

This policy applies to the ItsDeducted marketing site, web application, and related services available through https://itsdeducted.com and https://app.itsdeducted.com (together, the “Service”).

If you use the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the Service.

2Information we collect

We collect information in the following ways:

Information you provide directly

• Account information: your name and email address when you create an account or sign in.
• Donation data: item names, descriptions, conditions, quantities, dates, charities, and photos you submit to the Service.
• Communications: messages you send us through email, support, or contact forms.

Information collected automatically

• Device and log data: browser type, operating system, app version, device type, IP address, approximate location derived from IP address when available, and referring URLs.
• Cookies and similar technologies: as described in the cookies section below, including analytics cookies or local storage used to understand product usage.
• Usage data: pages visited, screens viewed, features used, time spent, clicks or interactions, and actions taken within the Service.
• Product analytics: We use PostHog to collect product analytics such as page or screen views, feature usage, clicks or interactions, performance and error signals, device and browser information, and account or user identifiers we send to connect events to an ItsDeducted account.
• Website analytics: We may use Google Analytics, Google conversion tracking, and similar website analytics tools to understand visits to our website, measure marketing and signup flows, and evaluate whether our public pages are helping people reach the app.

Information we do not intentionally collect: Social Security numbers, tax identification numbers, financial account numbers, or the contents of your tax returns. We also do not intentionally send PostHog donation item details, donation photos, tax records, payment card data, Google Photos content, OAuth tokens, or other sensitive user-entered content.

3How we use your information

We use the information we collect to:

• Provide, operate, maintain, and improve the Service.
• Help build organized donation records and provide estimated fair market values.
• Maintain your donation history and account settings.
• Send transactional communications such as account verification, password reset, billing, or support messages.
• Send product updates, feature announcements, or promotional emails that you can opt out of.
• Monitor for fraud, abuse, misuse, or violations of our Terms of Service.
• Understand product usage, diagnose errors, improve workflows, and measure product flows using analytics tools such as PostHog.
• Comply with legal obligations and enforce our agreements.

We do not use your donation data for third-party ad targeting.

4Aggregated and anonymized data

We may use aggregated or anonymized information to:

• Understand overall product usage and donation-tracking patterns.
• Improve item identification, estimated fair market value workflows, and recordkeeping features.
• Publish high-level product or usage statistics that do not identify any user.
• Report general operational metrics to advisors, partners, or investors.

We remove or abstract identifying details before using this type of information. We do not publish or share a person’s donation history, account details, or identity as aggregated data.

5How we share information

We do not sell, rent, or trade your personal information. We may share information only in the following limited situations:

• Service providers: vendors that help us operate the Service, such as hosting, authentication, email delivery, or analytics providers.
• Business transfers: if ItsDeducted is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
• Legal compliance and protection: when required by law or when we believe disclosure is reasonably necessary to protect our rights, users, or the public.
• With your direction or consent: when you ask us to share information or clearly authorize us to do so.

Our service providers may process information only as needed to perform services for us and are not permitted to use that information for their own unrelated marketing purposes.

6Data retention

We retain account and donation data for as long as your account remains active or as otherwise needed to provide the Service.

If you delete your account, we will delete or anonymize personal information within a reasonable period, generally within 30 days, unless we need to retain certain information for legal, security, fraud-prevention, tax, accounting, or compliance reasons.

Aggregated or anonymized information may be retained longer because it is no longer associated with an identifiable individual.

Product analytics data may be retained according to our analytics provider settings and business needs, and we delete or anonymize it when it is no longer needed for the purposes described in this policy.

7Cookies and similar technologies

We use cookies and similar technologies to:

• Keep you signed in.
• Remember preferences and settings.
• Understand how people use the Service.
• Measure the effectiveness of marketing and product flows.
• Support product analytics through tools such as PostHog, which may use cookies, local storage, or similar technologies to associate events with a browser, device, session, or account.

You can control cookies through your browser settings, but disabling cookies may affect parts of the Service, including sign-in persistence.

We do not use third-party advertising cookies for cross-site ad targeting.

8Third-party services

The Service may integrate with or depend on third-party providers such as:

• Analytics and communication tools, including PostHog, that help us understand product usage, diagnose issues, improve workflows, and respond to users.

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, misuse, loss, or disclosure. These measures include HTTPS encryption in transit, access controls, and secure infrastructure practices.

10Children's privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that a child under 13 has provided personal information, we will take reasonable steps to delete it.

11Your rights and choices

Depending on where you live and the laws that apply, you may have rights such as:

• Permanently deleting your account from the Account area within the ItsDeducted app.

12State privacy rights

If you are a resident of a jurisdiction with additional privacy rights, including California, you may have rights to know what personal information we collect, request deletion, and receive information about how data is used or disclosed.

We do not sell personal information. We will not discriminate against you for exercising applicable privacy rights.

13Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the last updated date on this page. If changes are material, we may also provide additional notice through the Service or by email when appropriate.

Your continued use of the Service after an updated policy becomes effective means you accept the revised policy.
